How Long Does It Take Teams Admins To Find Available Numbers?

There are no studies into the time it takes Teams admins to carry out specific tasks.

This makes it extremely hard to justify investing in software that “speeds up provisioning” or promises to “save time on manual processes”.

We know this first hand because it’s what customers tell us every single day.

When speaking to customers about Orto, our automated provisioning solution for Microsoft Teams,

To prove the theory that Orto can shave time off your personal best, we asked Mark Vale to time a competent Teams admin and see what their time was.

The result? Nearly 19 minutes!

Here’s why it took them so long

  • They had to open their number spreadsheet and find the number
  • They had to edit the sheet in advance with the person’s name
  • They had to elevate their M365 admin account
  • They had to log into the Teams Admin Center
  • They had to find the user and assign the number
  • They found out the number was already in use
  • They went back to step 1 and 2 🙄
  • They found a usable number but then had to assign policies

So, 19 minutes of frustration and inefficiency.

We then asked Mark to time the same Teams admin with the help of Orto and see how the results changed.

It took 2 minutes.

Here’s how Orto speeds up finding (and assigning) available numbers

  • They logged into Orto with Microsoft single sign on
  • They found an available number with the right location
  • They assigned the user to that number and policy persona
  • They went on to do their next task

They saved 17 minutes

Think about the number of numbers you assign to users through the course of a month, quarter, or year.

If you could save 17 minutes per number assignment, how much do you think you could save in time?

Now, equate that to money in your business. If you save 17 minutes per number assignment, you get back X amount of staff hours (and associated costs).

It’s not just number assignment we make more efficient either

To prove that we believe in our own product (and eat our own dog food, if you will), we asked our CEO, Ewan Haig, to provision a new user.

Now, Ewan has been working with Teams every day since the beginning of 2016. So he’s no mug when it comes to Teams admin.

Ewan was tasked with creating five new user accounts in Teams, with the correct policies assigned, a phone number, and have access to the associated teams for their department.

We set a time limit of one hour.

Check out how Mark (using Orto) made Ewan look a complete novice in this video:

The goal of this video was obviously not just to make Ewan look silly. It was to demonstrate the efficiencies to be gained when automating user provisioning in Microsoft Teams

We’re a passionate bunch when it comes to saving time and reducing manual errors in Teams. And we’d love to help you
